E-Mail Configuration for Microsoft Outlook



Open Microsoft Outlook.

To further your enjoyment in Microsoft Outlook XP, we wrote a special section on how to set up Outlook XP to work better for you. The below steps are optional and are not necessary to use your email account. If you are happy with your setup, you do not need to continue. However, if you would like to learn how to customize Outlook further, please select the Tools menu option. Then select the Options selection to continue.

 

You will be presented with the Options dialog box. You can configure many settings in Outlook in this dialog box. We will concentrate on email only, but your calendar, tasks, contacts and notes can also be customized here.

Select the E-mail Options...button to continue.

 

As you can see, we have selected the following options:

1. Save copies of messages in Sent Items folder

2. Automatically save unsent messages

3. Remove extra line breaks in plain text messages

Feel free to try out the different options on this dialog box. If you are unsure of what an option does, click on it once and press your F1 key. A help box will appear with additional information. When finished, select the Advanced E-mail Options button to continue.

 

We also check the following options shown below in the picture. If you are unsure of what an option does, click on it once and press your F1 key. A help box will appear with additional information. When finished, select the OK button on the Advanced E-mail Options to continue. Then select the OK button on the E-mail Options box to return to the Options window.

 

Now select the Mail Setup tab.

The E-mail Accounts button provides a link back to the email setup boxes we went through earlier.

We also selected the Send immediately when connected checkbox. If you would like to setup Automatic Send & Receive, check this box and then click on the Send/Receive button.

 

We checked the Schedule an automatic send/receive every box and set the number of minutes to 10. We ask that you keep this at a value of 5 or greater so that all of our customers might have fast and effecient email service. Checking the server too fast will cause your account to lock and you may spend a lot of your time talking to us.

If you are unsure of what an option does, click on it once and press your F1 key. A help box will appear with additional information. When finished, select the Close button.

 

Next, select the Mail Format tab.

We recommend that you select HTML in the Compose in this message format drop down box. The default, Rich Text Format, cannot be read properly by most Internet users.

We also recommend that you uncheck both Microsoft Word checkboxes below to speed up the creation of new messages. Do not perform this step however, if you plan to use form letters or mail merges in Outlook.

You can also create a signature for your email messages by selecting the Signature button below.

 

To create a new signature, start by clicking the New button in the Create Signatures dialog box.

 

Enter a name for your signature in the first text box of the Create New Signature dialog box. When ready, select the Next button.

 

In the Edit Signature window, type in the signature you would like your mail recipients to see. When finished, select the Finish button.

 

Your new signature will appear in the Create Signature window. You can create as many signatures as you want. When you are ready to assing the signatures to different types of email, select the OK button to continue.

 

On the options menu at the bottom of the Mail Format tab, you can select the different signatures you created from the drop down boxes for 'new messages' and 'replies and forwards'.

 

Next, select the Spelling tab.

This tab allows you to control the way Outlook handles spell checks on your email. You can turn different types of spellings on or off. If you have further questions, do not forget that you can click on an option once and hit your F1 key for futher help.

 

Next, select the Other tab.

The first option allow you to empty your Deleted Items folder when you exit Outlook.

The second option will set Outlook as your default mail client. This will open Outlook if you click on an email address while surfing the Internet to send a quick message to someone.

When finished, select the Advanced Options button to continue.

 

On the Advanced Options dialog box, you can change your Startup in this folder option. We selected Outlook Today on ours but you can select any folder or view you would like. When finished, select OK to get back to the Options dialog box @ the Other tab.

 

Next click on the Auto Archive button to set archiving options. You will be presented with the below screen.

Here, you can set options which will keep your mail folders clean and backup old messages at a certain interval. To enable Auto Archive, check the Run AutoArchive every box and select the number of days to check for old messages.

You can also check the Prompt before AutoArchive runs checkbox if you would like to know when Outlook tries to do this.

Finally, decide how old the messages must be before they are Archived and the select whether you would like them moved to a backup file (recommended) or deleted from Outlook (not recommended, you can not restore deleted messages most of the time).

If you like, you can tell Auto Archive to apply these settings to all folders by clicking the Apply these settings to all folders now button.

When finished, select OK to return to the Options dialog box @ the Other tab.

 

Next click on the Auto Archive button to set archiving options. You will be presented with the below screen.

We wanted our messages read immediately after we selected them so we set the below options, feel free to play around with these options to get what works best for you. Do not forget that the F1 key can provide additional help.

When finished, select OK to return to the Options dialog box @ the Other tab.

 

Finally, if you have issues with Windows Messenger starting up on your system at inconvient times, you can uncheck the Enable Instant Messaging in Microsoft Outlook option to stop Outlook from opening Windows Messenger. This annoid us greatly and was the first thing we unchecked :).

We are now finished configuring Outlook. To save the settings we just entered, select the Apply button if it is available and then click the OK button to return to your Inbox.
