Add A Printer The Easy Way

Install a printer driver
To install a printer driver locally on a Windows XP-based computer:

  1. Click Start, then Control Panel.
  2. Click Printers and Faxes.
  3. Double-click Add Printer to start the Add Printer Wizard, and then click Next.

  4. Click Local printer, clear the Automatically detect and install check box, and then click Next.
  5. Select Use the following port and select the port your printer is connected to and then click Next.

  6. On the Install Printer Software window, select the manufacturer of your printer and then the printer model. Click Next when finished.

    Note: If your printer came with a driver disk and you cannot find the driver on this window, you can select Have Disk to tell your computer to look for the driver there.

  7. On the Name Your Printer screen, you can change the default name of the printer and also select whether or not you want this printer to be the Default Printer. Click Next.

  8. On the Printer Sharing page, you can select whether you would like to share the printer out for other networked computers to use. If you want to do this, select Share Name and enter a share name.

  9. Finally you can print a test page to ensure your printer is working. It is recommended you do this to ensure proper functionality. Click Next when done.

  10. Your printer is now installed. Click finish.

Connect to a Network Printer

  1. Click on Start and then Run.
  2. Enter the name of the computer which is sharing the printer you wish to connect to. The proper format is \\server-name.
  3. Locate the printer on the computer. Right click on the printer and select Connect. The system will install the network printer and necessary drivers.

  4. When it is finished, you can locate the printer by going to Start > Control Panel > Printers and Faxes.

Select a Default Printer

  1. Go to Start > Control Panel > Printers and Faxes.
  2. Right click the printer you wish to be the default. Select Set as Default Printer.

    Every time you printer in the future, the new default printer will be automatically selected.

Share a Printer

  1. Go to Start > Control Panel > Printers and Faxes.
  2. Right click on the printer you wish to share and select Sharing.

  3. The Printer Properties will open on the Sharing tab. Select Share this printer and enter a share name in the Share name box. Click Ok when finished.

    You can now go to other computers on your network and follow the section above entitled Connect to a Network Printer to add the network printer.

Print a Test Page
Printing a test page is a great way to ensure that a local or network printer is functioning properly. To do so:

  1. Go to Start > Control Panel > Printers and Faxes.
  2. Right click on the printer you wish to fix and select Properties.
  3. On the General tab, click on the Print Test Page button.

    Your printer should now print a test page confirming that it is functioning properly. If it does not, check out the next section for troubleshooting steps.

Handling the Printer Queue
If you ever need to view, cancel, or restart a print job, do the following:

  1. Go to Start > Control Panel > Printers and Faxes.
  2. Double click on the printer in question to view its queue.
  3. To cancel or restart a print job in the queue, right click on the job and select the desired action.

  4. To cancel all documents in the queue, click on the Printer menu and select Cancel All Documents.

    Note: Canceling all documents in the queue should be the first step in diagnosing a printer problem.

Restarting the Print Spooler
If your printer ever stops working, restarting the print spooler could fix the problem. Here is how:

  1. Go to Start > Run and enter services.msc and click OK.
  2. Scroll down through the alphabetical list and locate the Printer Spooler service.

  3. Right click on the service and select Restart

Basic Printer Troubleshooting
If you are having problems printing to a local or network printer, these steps may help.

    Local Printer

  1. Cancel any print jobs currently in the printer queue.
  2. Restart the Print Spooler.
  3. Try printing a test page. If this does not work continue to step 4.
  4. Restart your computer.
  5. Turn off and then turn back on your printer while your computer is rebooting.
    Network Printer

  1. Cancel any print jobs currently in the printer queue.
  2. Restart the Print Spooler on the computer sharing the printer.
  3. Try printing a test page on the computer sharing the printer. If this does not work continue to step 4.
  4. Restart the computer sharing the printer (if possible).
  5. Turn off and then turn back on your printer while the computer is rebooting.
  6. Try printing a test page on the computer hosting the printer after it finishes rebooting. If this does not work, continue to step 7.
  7. Ensure both computers are able to communicate. You can check this by going to Start > Run and typing in the other computer’s name. i.e. \\server-name

    Note: You may need to restart the computer which you originally tried to print from. This is definitely the case if you are able to print a test page from the computer sharing the printer.
